Questions
Frequently asked questions
How Profitdrive works, who it is for, and how it fits alongside the systems a services firm already runs.
What is Profitdrive?
- Profitdrive is operating software for IT and professional services firms. It connects pipeline, projects, people, and the profit and loss account into a single forward view of company revenue and profit, so leadership can see what drives the number and each team knows where to focus.See the whole system →
Who is Profitdrive for?
- Profitdrive is built for the leadership of IT services and professional services firms, the people accountable for revenue, margin, utilisation, and delivery. It suits firms from a single principal through to established mid-sized practices that manage profit across a portfolio of projects and people.See what leadership reads →
Can Profitdrive forecast our forward profit?
- Yes. Profitdrive composes a live firm-level P&L from contracted work, extensions, pipeline, resolved people cost and overhead, and reads it across three scenarios, Contracted, plus Extensions and plus Pipeline. Because it is built from the same operational data the firm already maintains, the forward view moves when the business moves rather than being rebuilt each month. It is a modelled forward view, not a probability-weighted or AI-generated prediction.See the forward P&L →
How does our sales pipeline connect to profit?
- Each opportunity carries a Deal Model holding roles, day rates, resolved people cost and the working-day calendar, so margin is visible at the point of pricing and measured against firm-wide targets. When a deal is won, the commercial case becomes the project baseline and moves from pipeline into contracted in the forward P&L. Profitdrive does not replace a CRM and does not integrate natively with one today.See how deals are priced →
How does Profitdrive connect resource capacity to profit?
- Every person has a resolved daily cost and a monthly capacity, and utilisation is read across several lenses rather than as one blended figure. Bench, internal projects and leave are tracked separately, and unfilled demand is carried as an Open Role with a price attached. Staffing changes flow through to deal margin, project margin and firm profit without a separate reconciliation step.See capacity and cost →
Can we see project profitability and margin risk?
- Yes. The baseline the deal was won on is preserved as the project's reference point, and delivery margin is tracked against it as staffing, phasing and scope change. Additional scope is captured as a priced change rather than absorbed into the original case, so margin drift is attributable to the assumption that caused it rather than discovered at the close.See project profitability →
How is Profitdrive different from our accounting system?
- An accounting system records what has already happened. Profitdrive projects what is about to happen. It reads live pipeline, project plans, and people costs to show where profit is heading over the coming months, rather than reporting the position at the end of a period that has already closed.See the forward P&L →
Does Profitdrive replace our accounting or ERP system?
- No. Profitdrive sits alongside the systems of record. It draws on the same underlying facts, the deals, project assumptions, and people costs, to produce a forward profit view, without replacing the ledger, payroll, or billing systems the firm already runs.See where the boundaries sit →
What data does Profitdrive run on?
- Profitdrive runs on real operating data. It reads the deal model for each opportunity, the project plan for each engagement, named people and their costs, and the resulting firm profit and loss. Because every figure traces back to one source, the pipeline, delivery, and finance views agree without a spreadsheet bridge.See how people cost resolves →
Can our delivery team record time in Profitdrive?
- Yes. Profitdrive includes timecard capture for delivery staff, covering weekly time entry, leave and non-project time, with a manager view for completeness and exceptions and spreadsheet import for firms migrating existing records. Timecards is enabled per firm, and the Team Member seat is the light seat that covers it. Recorded time is evidence of delivery effort against plan. It does not author revenue or the financial forecast.See capacity and cost →
How is Profitdrive priced?
- Profitdrive is priced by seat, matched to what each person does. A Leadership seat has full commercial and financial decision access. A Manager seat serves the people who run projects, resourcing, and capacity without full firm financial control. A Team Member seat covers time, leave, and a personal dashboard for delivery staff. Cost tracks the people who make decisions rather than the size of the delivery team, and specific figures are set in the access conversation.See the seat model →
Is our people and cost data secure?
- Yes. People cost is treated as a secure area. Individual rates and person records are visible only to those who need them, on a permissioned basis, while the aggregate profit view remains available to leadership. Every profit figure stays traceable to its source without exposing underlying pay.Read the privacy policy →
How do we get access to Profitdrive?
- Access is currently by request through the Profitdrive site. After a firm requests access, onboarding follows, and the forward profit view builds from the firm's own pipeline, project, and people data.Request access →
