Project margin is not company profit.

Choosing a PSA for a 25–150-person IT or professional-services firm? Compare the pipeline, projects, people and timecards your team needs—and how the software explains the whole company’s financial result.

Choose for the work you sell.

Profitdrive connects the priced opportunity to the project plan, resourcing, timecards and forward company P&L. It is an alternative worth evaluating when your engagements are staffed against a plan and management needs to see the financial effect of what changes.

If your daily priority is ticket dispatch, detailed task scheduling, a client portal or another specialised workflow, make that an explicit requirement. Compare it with what you already use and keep the system that serves it well.

Compare the work, not the feature labels.

Use the same opportunity, delivery plan and reporting period in each system. A tick beside “financials” does not tell you what the calculation includes.

Ask how the profit number is made.

A rate that includes an overhead allowance and a project margin report can be useful. They do not, by themselves, explain whether all staff cost and actual period SG&A reconcile to a company P&L. Ask for the inputs, the period and the calculation.

Profitdrive separates delivery cost, Non-Billable Production Cost (bench, internal-project and leave-related cost) and SG&A in its forward financial view. Test the complete cost structure against your method. Ask each vendor to show how its model accounts for the whole period, beyond the margins on assigned work.

Price the roles. Then compare the total.

Full seats are for company financial decisions; Team seats are for managing work; Submitter seats are for recording time. The first five Submitter seats are free. Partner and Viewer access is read-only and free. Use current seat prices for the currency and billing term you choose.

For illustration, 25 people with 2 Full, 3 Team and 20 Submitter seats pay for 2 Full, 3 Team and 15 Submitter seats. At 75 people, a 3/7/65 mix pays for 60 Submitters. At 150, a 5/15/130 mix pays for 125. These are examples, not minimum requirements.

Check the required competitor tier, paid-user definition, minimum commitment, add-ons, setup and tools you retain. Projectworks describes billing active people in bands; Productive distinguishes feature tiers; Scoro prices app combinations. A headline rate alone is not a comparable total.

Test one decision before choosing.

Take a deal you are pricing, a project already running and the next few months of company reporting. Record what each system needs to prepare and maintain the case, and what decision its numbers let you make.

The useful comparison is the configuration your firm would actually use. Check current prices on the pricing page and the source plan pages before deciding; a lower-cost or broader-functionality claim needs that calculation.
