Integrations
Your accounting book stays where it is. Profitdrive works with any accounting system through a monthly CSV import, and connects to Xero as an option. Each item is labelled by what it is: Import (a file you load in), Connected (Profitdrive reads from it), Export (a file you take elsewhere) or Planned (on the roadmap).
Import: any accounting system, and your own files
Actuals from any accounting system. Once a month, import a CSV with Month, Revenue, Delivery cost, Internal delivery cost, Gross margin and SG&A. It takes a few minutes, and it works the same whichever accounting system you use.
Each import has a CSV template. You map your columns and review the rows before anything is saved. You can import:
- people, projects and allocations
- opportunities in your pipeline, and Deal Models
- SG&A items
- financial actuals, budget and KPIs
- bookings and timecards
- the working calendar
AI-guided migration. Your own AI assistant prepares the import files from spreadsheets or exports from your current systems, and you approve each one before it is loaded. Read the migration guide
Connected: Xero, as an option
Xero is an optional connection on top of the CSV import. Profitdrive connects to Xero, one organisation per workspace, and a Full seat sets up the connection. It is read-only: Profitdrive reads from Xero and writes nothing back.
Actuals. Profitdrive reads the chart of accounts, sales invoices, supplier bills and contacts from Xero, and the trial balance in full general-ledger mode. Your finance lead maps the accounts to your P&L lines and accepts each month, and an accepted month shows as actuals in place of the outlook.
What Xero adds. As well as actuals, Xero brings in your sales invoices and supplier bills, so the client list under Accounts shows what is invoiced and what is outstanding for each client.
When Profitdrive reads Xero. When you connect Xero, and whenever you choose to refresh from the app.
Export: files you take elsewhere
Invoice file in Xero's format. With Timecards on, Invoice output creates one CSV in Xero's import layout, with a line for each time-and-materials and fixed-fee item. The due date follows your payment terms. An Owner or Power User generates it, and you import it into Xero, then approve and send the invoices there.
Reports. In Financials, PL Detail exports to a report CSV, branded Excel or a branded PDF, the P&L Outlook board pack. Deal Financials, Projects, SG&A, People and Utilisation export too. Lists export to CSV.
Why invoices are raised in Xero. Invoices are raised in Xero so your finance team keeps control of approval and numbering. With Xero connected, Profitdrive reads them back and shows what was billed beside what was booked.
Sign-in and email
Sign-in. With Microsoft, Google or a link sent to your email address. Invitations and timecard reminders arrive by email.
