Keep the books. Connect them to the work ahead.

Your accounting system records the result. Your next project and staffing decisions need the priced work, available people and the months ahead. Profitdrive brings that operational plan into a forward company P&L.

A project book and a delivery plan have different jobs.

A job code, invoice or project transaction is useful financial evidence. Before that evidence exists, someone has to price the work, assign the team, allow for working days and understand the effect on company profit.

For IT and professional-services firms of around 25–150 people, Profitdrive connects opportunity costing, project plans, capacity and the company outlook. Your finance team keeps control of the accounting book.

Carry the priced work into delivery.

Model named people or open roles, dates, day rates and commercial modes by phase. Convert a won deal into a project without rebuilding those rows. Plan extensions and changes, and see their effect on the months ahead.

A forward P&L includes the costs the firm carries beyond client delivery. It gives managers a planning view alongside the posted accounts, rather than asking the ledger to serve as the resource plan.

Be precise about what connects.

Xero

Accounting responsibility
Keep Xero for the ledger, invoice approval and numbering.
Profitdrive method
Optional read-only connection, one organisation per workspace. A Full seat maps accounts and accepts each month; refresh when you choose.

MYOB

Accounting responsibility
Use the accounting system’s financial data for the reporting period.
Profitdrive method
Import monthly company actuals through the supported CSV template; this is not a native MYOB connection.

QuickBooks

Accounting responsibility
Keep QuickBooks for accounting and use the actuals import today.
Profitdrive method
Monthly CSV actuals import. A direct QuickBooks Online connection is on the roadmap, not presented as live.

Invoice output

Accounting responsibility
Distinguish an export file from invoices sent by the accounting system.
Profitdrive method
With Timecards on, export T&M and fixed-fee invoice items in Xero’s CSV import layout; approve and send invoices in Xero.

Use actuals without erasing the planning assumptions.

The monthly actuals template includes Month, Revenue, Delivery cost, Internal delivery cost, Gross margin and SG&A. Map the accounting inputs to your P&L structure and review the period before accepting it.

Xero can also supply sales invoices and supplier bills so you can see what was invoiced and outstanding. That connection is read-only and on demand. Invoice-file compatibility with MYOB or QuickBooks is not promised by the Xero export.

Bring one project and one closed month.

Compare the project plan with your current working method, then load the month’s company actuals. Check account mapping, staff cost and overhead treatment, and what your finance team still needs to approve or maintain.

If native job costing alone meets the need, keep using it. Evaluate Profitdrive for the connected planning, capacity and company-finance questions your present process leaves you to assemble.
